man using stand-up copierMany people expect to plug in a new copy machine and never have to worry about it again. Unfortunately, it is not quite that simple. Copiers are expensive, complex machines that require regular maintenance and preventative measures. The good news is that this maintenance is quick and straightforward. Once you get in the habit of caring for your copy machine on a regular basis, you will have a lot less issues. However, inevitably there will still be the occasional problem. Familiarize yourself with the most common problems so that you know how to take care of them on your own when they do arise.

How to fix a paper jam

When a copier does jam, remove the paper the way that it travels through the paper path, avoiding yanking it out in a rough manner. Yanking the paper out of the machine tends to leave small shreds behind that are very difficult to remove.

Check to make sure that the paper is not damp or wet. It is best practice to store copier paper in a cool, dry location and to get rid of damp and wet paper. If changing the paper does not clear up the problem, wipe the feed tires and the interior of the machine with a cloth.

There are lines/spots on my copies. How do I get rid of them?

If there are consistent spots or lines on copies, it is likely that there is dirt, paper dust, or debris on the glass. Before you clean the glass, turn off the copy machine. Use a soft sponge with a small amount of non-abrasive glass cleaner. In order to prevent further spotting, dry it with a lint-free cloth.

Why is my copier making light/dark copies?

Typically issues with light or dark copies can be cleared up by adjusting the exposure setting or density control. Consult your copier manual for recommended settings. Do you have a copier with a toner cartridge? If so, check the toner level, and if necessary, change the cartridge.

Regardless of the issue at hand, it is important to be realistic about your problem solving skills. While you can save a lot of time and money by tackling a copier issue on your own, you can also waste a lot of time and money by attempting to fix an issue that is way beyond your means. Don’t hesitate to call a technician to clear up a serious problem.
